POSITION OVERVIEW

Dentons Canada is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative support to our Chief Information Officer (CIO), as well as provide executive-level support to other senior leaders within the Firm as needed.  This role will ensure the efficient operation of the executives’ offices and supporting their strategic initiatives within the Firm. The successful candidate will demonstrate exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced legal environment.

This role will provide high quality, proactive and value add administrative support in a fast-paced legal environment. Generally, the hours of work are from 9:00 am to 5:00 pm, however, due to the nature of the role some pre-authorized overtime and flexibility in core hours may be required. This role is a hybrid position requiring some in-office presence.

KEY RESPONSIBILITIES

  • Manage complex calendars, schedule meetings, and coordinate appointments, ensuring optimal time management and prioritization of tasks.
  • Prepare, review, and edit correspondence, presentations, reports, and other documents as required.
  • Organize and coordinate internal and external meetings, including logistics, agendas, materials, and follow-up actions.
  • Serve as a liaison between the executives and internal/external stakeholders, maintaining professionalism and confidentiality at all times.
  • Assist with travel arrangements, expense reports, and other administrative tasks.
  • Support project management activities, including tracking deliverables, deadlines, and action items for key initiatives led by the leaders.
  • Maintain and update filing systems, databases, and records in accordance with Firm policies.
  • Handle sensitive information with discretion and maintain the highest level of confidentiality.
  • Undertake special projects and other duties as assigned.

 

QUALIFICATIONS

 

  • Minimum 5 years of experience as an Executive Assistant, preferably supporting senior leadership in a law firm or professional services environment.
  • Bachelor’s degree is preferred or equivalent combination of education and experience
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools.
  • Exceptional organizational, communication, and interpersonal skills.
  • Ability to work independently, exercise sound judgment, and manage competing priorities.
  • Strong attention to detail and problem-solving abilities.
  • Demonstrated discretion and professionalism in handling confidential information.
  • Post-secondary education in business administration or a related field is an asset.
  • Demonstrated commitment to privacy and ethical conduct.
