Position Summary
The primary role of the Office Services Clerk is to work within a team, providing high-level customer service and supporting the office with a variety of administrative functions including scanning, document management, and general office services support. The Office Services Clerk is a key member of a busy team. The successful candidate will demonstrate initiative, a "can-do" attitude, strong communication and organizational skills, and a desire to work in and promote a client-first focused culture.
Responsibilities
Printing and reprographics:
- Provide digital file scanning services
- Handle binding, scanning, photocopying, printing, and other document-related tasks
- Plan, schedule, layout, and organize various graphic design and production activities
- Provide technical support and assist staff in producing a variety of printed materials
- Maintain digital records related to work performed
Mail and office support:
- Processing of Canada Post, couriers, and internal mail daily
- Receives and delivers printed faxes in a timely manner
- Operate and maintain a variety of office equipment and computer graphics equipment
- Estimate time and material costs
- Keep office supply room tidy and fully stocked; maintain and organize shelving and materials in all floor print stations and the mail room
- Organize, manage and assist with photocopying jobs and other administrative requests
- Ensure work stations/offices for new hires are stocked with supplies and cleaned from the previous incumbent
- Routinely empty recycling bins at workstations and offices
- Office packing, cleaning, organizing and logistics support for planned and ad hoc office moves as required
- Establish and maintain cooperative and effective working relationships with others
Hospitality support:
- Perform heavy lifting and movement of boxes as needed
- Assist with setting up boardrooms for meetings and firm functions
- Provide reception relief, including booking boardrooms, answering the switchboard, and greeting visitors
- Assist with office and client functions, as needed
Required Knowledge and Experience
- Completion of High School Diploma
- Experience in a professional services environment is considered an asset
- Experience in a customer service driven environment is considered an asset
- Strong communication skills (both verbal and written) when dealing with lawyers, clients, staff and third parties
- Digital dexterity and comfort using a variety of hardware and software technologies
- Knowledge of operation and basic maintenance of major office equipment including photocopier, fax machine, postage machine, colour printer and cerloxing procedures
- Knowledge of computer software including MS Word, PDF, Outlook and Excel
- Ability to lift up to 25lbs, frequent sitting, standing and walking are required
- Hour flexibility to accommodate business needs is essential
