Position Summary:
We are looking for a driven and professional individual to join our firm as a Receptionist for our Calgary office. This role offers an exciting opportunity to grow within a leading law firm environment, and with the ability to take on a variety of administrative, clerical, and hospitality tasks. The ideal candidate will be client-focused, team-oriented, and able to project the professional image of our Firm. With a warm and friendly demeanor, the Receptionist will provide exceptional customer service to both internal and external clients, building strong rapport with everyone at the Firm. A polished approach, professionalism, and a strong client-care attitude are essential for success in this role.
This position is scheduled in-office Monday to Friday, from 9:00 am to 5:00 pm, with some adjustments to hours for coverage needs. Occasional evening and weekend availability, and some pre-authorized overtime may be required.

Responsibilities:
Client Service & Guest Experience
- Greet clients and visitors to our reception area warm and professional manner, ensuring a positive first impression for the firm.
- Manage client inquiries efficiently, providing accurate information and directing them to the appropriate individuals or teams.
- Create a professional and welcoming atmosphere in the reception area.
- Coordinate appointments and meetings, ensuring smooth scheduling and timely communication.
- Demonstrate empathy and understanding in all client interactions, ensuring excellent client service.
Phone and Email Management
- Provide switchboard services, routing telephone inquiries and responding to phone, email, and in-person inquiries in a timely manner.
- Provide coverage for other Dentons firm location switchboards from time to time.
- Maintain and update the internal phone list and upload it to the local Calgary internal portal.
Meeting and Event Support
- Manage meeting room bookings, confirm and supply all guest and meeting requirements, and arrange catering in partnership with the hospitality team.
- Proactively anticipate meeting and event requirement and confirm all details at minimum one week in advance.
- Support the AV team with technical setup for meetings and troubleshoot technology issues (Zoom, Microsoft Teams).
- Coordinate event logistics with building management, including room bookings and catering arrangements.
- Restock and refresh meeting rooms after each booking.
- Restock staff kitchen amenities with refreshments regularly and manage inventory levels in partnership with the hospitality team.
Administrative Support
- Assist with administrative duties such as data entry, reporting, and updating internal documents.
- Exhibit strong attention to detail when proofreading documents, ensuring accuracy and completeness before distribution.
- Utilize office software proficiently, including scheduling tools, email, and document management systems.
- Submit receipts to accounts payable with accurate event-specific coding.
Communication and Coordination
- Demonstrate tactfulness in communication, both written and verbal.
- Maintain confidentiality and discretion at all times.
- Update and share internal communications, such as “Welcome” emails for visiting staff.
- Manage “hotel” office space reservations through the reception calendar and collaborating with the Office Services team to ensure hotel spaces are reset and clean for each reservation.
Standard Operating Procedures & Training
- Develop, implement, and maintain templates, precedents, and standard procedures for reception operations.
- Provide cross-training and support to applicable roles.
- Assist with other office services, print shop, events, and hospitality duties as assigned.
Requirements:
- High school diploma.
- Minimum of 2 years of reception or related professional office experience; preference given to candidates with a background in legal or professional services.
- Strong ability to maintain a professional appearance, conduct, and uphold confidentiality.
- Excellent interpersonal, written, and verbal communication skills, with a confident telephone manner.
- Proficient with technology, including online meeting room booking systems and switchboard programs.
- Exceptional organizational and time management skills.
- Ability to multitask, prioritize, and solve problems in a fast-paced environment.
- Client-focused with a strong customer service mindset and the ability to maintain a positive attitude, even in challenging situations.
- Proactive, self-motivated, and able to work both independently and as part of a team.
- Proficient with Microsoft Office suite, including Word, Excel, Outlook, and PowerPoint.
