Dentons US LLP is currently recruiting for a HR Administrative Assistant to be resident in our Chicago office. The HR Administrative Assistant will assist with day-to-day operations of the department and interact with all level of employees regarding human resources-related activities and processes. This position reports to the HR Business Partner. On-going professional interaction and communication with all HR department and Firm personnel is essential for success in this role.
Responsibilities:
- Facilitate HR onboarding process for all new hires, including but not limited to, creating credentials, confirming email addresses, entering new hire information into HR database, preparing and issuing HR notifications, and sending new hire paperwork to the new joiner.
- Maintain new hire paperwork and update as needed.
- Assist HR Business Partners with the scheduling of exit meetings and issuing of exit surveys to departing employees.
- Assist with maintenance of the DUS Policies and Procedures Manual.
- Monitor HR mailbox and address or re-direct messages as appropriate.
- Act as HR point of contact for all Service Desk inquiries and escalate as appropriate.
- Responsible for handling of HR invoices, including reviewing invoices for accuracy, obtaining necessary approvals and submitting for payment using Chrome River.
- Ensures that HR personnel files (electronic and physical) are consistently and appropriately maintained. This includes creating new files, duplicating existing files, and preparing files for offsite storage.
- Respond to requests for verification of employment status.
- Act as back-up to Human Resources Coordinator.
- Prepare ad hoc reports, as needed.
- Other duties as may be assigned to fully meet the requirements of the position.
Experience & Qualifications:
- Bachelor's degree in Human Resources or related field or equivalent experience.
- 1-2 years’ Human Resources experience in an administrative role.
- Excellent written, communication, organization, and interpersonal skills essential. Ability to communicate with all levels of personnel.
- Ability to work independently and as a team.
- Ability to appropriately handle sensitive and confidential situations and documentation.
- Ability to effectively prioritize tasks and duties and communicate status or need for assistance.
- Ability to work in a fast-paced and high pressure environment.
- Strong attention to details and superior multi-tasking skills.
- Familiar with Microsoft Office Programs.
- Flexibility to work overtime as needed.
