POSITION OVERVIEW

 

Working within a busy team of accounting and finance professionals, the Accounts Payable Specialist is responsible for having keen attention to detail and ensuring accurate and timely processing of vendor invoices and disbursements. A prime responsibility will be to manage the accounts payable function and maintain strong relationships with vendors and internal stakeholders. You will be a crucial link in the financial ecosystem, ensuring the seamless flow of transactions and supporting the company's overall financial health. This opportunity is a 12 month hybrid position requiring some in-office presence and scheduled to work 9:30 am- 5:30 pm, Monday to Friday. During month-end periods, some overtime and flexibility may be required to meet demands of the role.  Discretion, confidentiality and attention to detail are essential to this role and required at all times.

 

RESPONSIBILITIES

 

  • Process vendor invoices efficiently, ensuring adherence to company policies and procedures.
  • Verify the accuracy of billing details and supporting documentation.
  • Creating new vendors as requested with required details and bank information.
  • Cultivate positive relationships with vendors, addressing inquiries or discrepancies in a timely manner. Negotiate payment terms and resolve payment-related issues to maintain smooth vendor interactions.
  • Review, submit and approve employee expense reports in Chrome River.
  • Inputting cost entries to client accounts.
  • Prepare and execute payment runs, including checks and wires in various currencies.
  • Perform regular account reconciliations to ensure accurate accounting and identify any discrepancies or irregularities. Work closely with the accounting team to resolve any outstanding items.
  • Identify and suggest opportunities to enhance efficiency and effectiveness within the accounts payable process.
  • Maintain organized and accurate records of all accounts payable transactions, invoices, and payments for easy retrieval and reporting.
  • Input cost entries to client files.
  • Assist other teams with various duties as required (e.g. Billing).
  • Respond to incoming inquiries as required.

 

REQUIREMENTS

Education, Experience, & Certifications

 

  • Minimum 2 years’ experience in Accounts Payable, preferably within a professional services firm.
  • Experience with Elite an asset.
  • Working knowledge of MS Office, e.g. proficient in Excel, Word, PowerPoint and Outlook.
