POSITION OVERVIEW

 

As a key member of the Central Services Team, the Receptionist serves as the first point of contact for clients and visitors, reflecting Dentons Canada LLP’s professionalism and client-focused culture. This multifaceted role is responsible for creating a welcoming environment and ensuring the smooth operation of front-of-house services. Professionalism, initiative, and a polished demeanor are essential. This position is scheduled to work in the office from 8:00 a.m. to 4:00 p.m., Monday to Friday.

 

RESPONSIBILITIES

 

  • Greet clients and visitors, maintaining a professional and welcoming atmosphere.
  • Operate the switchboard, route calls, and provide accurate firm information.
  • Respond promptly and professionally to inquiries via phone, email, and in person.
  • Maintain a clean, organized reception and waiting area; offer refreshments as needed.
  • Coordinate meeting room bookings, setups, and catering requirements.
  • Ensure meeting rooms are cleaned, restocked, and ready for use.
  • Create graphics and manage video slideshows for internal communications.
  • Distribute ‘Welcome’ emails for visiting staff and arrange flowers/gifts as appropriate.
  • Liaise with visiting lawyers to confirm requirements and ensure offices are prepared.
  • Greet visiting lawyers, escort them to their office, and provide ongoing support during their stay.
  • Maintain Standard Operating Procedures (SOPs) for reception.
  • Cross-train on reception duties to ensure consistent service standards.
  • Update internal phone lists, floor maps, and upload finalized documents to the local portal.
  • Manage temporary office reservations and maintain accurate records.
  • Distribute daily cheque signer lists to relevant staff.
  • Support the local IT team with meeting technology and laptop screen sharing.
  • Maintain inventory and order reception supplies and first aid materials.
  • Submit maintenance requests and coordinate with building management and cleaning staff.
  • Track and schedule annual inspections with third-party first aid suppliers.
  • All other duties as assigned.

 

REQUIREMENTS

 

  • High school diploma required; Office Administration Certificate considered an asset.
  • One to two years of experience in reception or related office roles (legal industry preferred), demonstrating accountability and dependability in managing front-of-house operations.
  • Professional presentation and strict adherence to confidentiality, reflecting respect and integrity.
  • Strong interpersonal, written, and verbal communication skills, with a proven ability to communicate effectively and maintain a customer-focused approach.
  • Proficiency in Microsoft Office Suite and booking/switchboard systems, ensuring quality orientation in all administrative tasks.
  • Excellent organizational and multitasking abilities, supported by strong problem-solving skills.
  • Positive, proactive, and flexible attitude; able to work independently and collaboratively, fostering teamwork and adaptability.
  • Ability to lift up to 50 lbs unassisted and perform manual tasks as required.
  • Availability for occasional overtime and schedule flexibility.

 

 

The target salary range for this position is $50,000 – $60,000 commensurate with the successful candidate’s skills, experience, and qualifications. Dentons is committed to equitable and competitive compensation.
