The Department

 

The Office of the General Counsel (OGC) manages complex legal and risk issues for the Firm, our Board, executive management, our lawyers and staff. We focus on all elements of professional practice risk, including claims, complaints, core regulatory compliance, risk management, legal advisory and governance. 

 

The team is spread across three locations: London, Glasgow and Dubai, and is made up of qualified lawyers and other qualified specialists. This enables us to provide a unique perspective on and fashion innovative solutions for the risk issues that arise across the Firm.
    
Responsibilities

 

  • Supporting the team in all aspects of in-house team operations from day-to-day functions to long term projects.
  • OGC inbox front of house, interaction with the Firm at all levels, initial assessment of queries and allocation of team resources as required.
  • Budgeting and Financial - invoice processing, budget preparation.
  • Dentons Direct sites management - creating/updating managing sites Dentons UK and ME LLP Library of the Documents for all relevant teams (BD, PSE, PSWC, Finance).
  • Maintaining our region's claims, complaints, breach register.
  • Internal and external audits – supporting senior team members at all stages of the internal and external audits ISO9001, 2230, annual Achilles auditor/scheduling preparing the DD site, preparatory meetings with auditors and relevant team members, guidance and support during the audit interviews); clients’ audits, questionnaires online (Hellios FSQS, EcoVadis, Achilles).
  • Internal investigations - supporting senior team members in investigations (involved in highly confidential projects) competent in various internal and external systems searches (mimecast, Imanage, outlook, Acudebt, Elite etc), excellent working relationship with relevant teams to achieve the best results. 
  • Firm wide and regional Insurances – collating info and updating responses for annual renewals of firm's insurances as/when required from various relevant teams and providing supporting documents for insurers' questionnaires. 
  • Preparation for internal training: SRA, new joiners’ packs, partners’ training, preparing internal training content for external platforms (Success factors, Vinciwork) and monitoring completion.
  • Policies/procedures review – support in reviewing firm's policies procedures, maintaining OGC portal for updates. 
  • Governance projects – legal and logistics support. Drafting firm's governance documents, logistics arrangements with notaries, filing, maintaining governance documents on OGC system.
  • Maintaining OGC system files/filing system as required. 
  • Procurement process workflow – collaboration with the Procurement team (Vendor management One Trust assessments, templates for vendors assistance).
  • Monitoring DAC6 inbox, responding to the queries and escalating to senior team members.
  • Team meetings planning/arranging – administrative as/when required.
  • General legal assistance as/when required as well as legal research.

 

Required experience, skills, and attributes

 

  • Excellent written and verbal communication skills.
  • Strong attention to detail.
  • Able to prioritize and multi-tasking particularly when working under pressure and to tight deadlines.
  • Able to interact positively at all levels within the firm and a good team player.
  • Able to demonstrate excellent client/customer facing skills.
  • Strong problem solving and analytical skills; can clearly explain and present problems and issues to others and contribute to their resolution.
  • Methodical approach to work; takes an efficient and organised approach to dealing with administration.
  • Able to make decisions and remain calm while under pressure – particularly when dealing with difficult situations.
  • Able to deliver high quality work to tight deadlines.
  • Can demonstrate initiative and the ability to be proactive, while also being able to follow instructions and provide support to the Conflicts Manager and Global Head of Conflicts.
  • Can carry out all responsibilities in a way which supports the practice’s values and promotes its equal opportunities and diversity principles.
  • Legal qualification or experience preferred.
