Legal Assistant

Reporting to the Manager, Legal Support Services, the legal assistant will provide administrative support to the lawyers of the team he/she will be assigned to and occasionally to other professionals with regard to the team’s files. The successful candidate will act as a collaborator, proactively focusing on keeping records up-to-date and staying well informed on current affairs to support the department's activities, as well as providing impeccable client service.


Responsibilities
•    Format, transcribe, revise and participate in the drafting of various administrative and legal documents in French and English;
•    Assist professionals in tracking incoming and outgoing communications by phone, email and regular mail;
•    Open files;
•    Maintain files in paper and electronic formats and take care of daily filing; 
•    Ensure follow-ups of files with team members;
•    Participate in the preparation of closing books for transactions;
•    Organize meetings and coordinate all aspects of meetings when requested;
•    Manage lawyers’ agendas when requested;
•    Record time entries;
•    Prepare and submit lawyers' expense accounts;
•    Make travel arrangements (transportation, hotels) when requested;
•    Perform any other tasks assigned.

 

Requirements
•    Diploma of professional or college studies in office automation, with a major in law, or any other diploma combined with relevant work experience;
•    Five (5) years’ experience in a similar position at a professional services firm.


Essential skills
•    Proven knowledge of Commercial Law;
•    Excellent knowledge of the Microsoft Office suite tools (Word, Excel and PowerPoint);
•    Fluency in French and English, both oral and written;
•    Ability to manage multiple files simultaneously and to work under pressure;
•    Highly organized with attention to detail and ability to prioritize; 
•    Autonomous, versatile and flexible;
•    Team player
•    High level of discretion.

 

Working conditions

Workplace:        Montréal (Downtown) 
Contract Type:        Permanent Position – Full-time
Schedule:        Monday to Friday, 9 a.m. to 5 p.m. (33.75-hour workweek)
