Dentons US LLP is seeking a highly organized and experienced Legal Administrative Assistant to provide executive level support to our litigation practice chair and lawyers in our New York office. This role offers the opportunity to work in a dynamic, collaborative fast-paced work environment. This is a hybrid position requiring three days in the office and two days remote each week.

 

Responsibilities

  • Manage core legal administrative tasks, including conflicts checks, new client-matter openings, reconciling expenses, billing, electronic approvals, calendaring, conference room reservations, and travel arrangements.
  • Provide high-level administrative and organizational support, such as planning of internal and /external conferences and meetings, and organizing conferences, including catering and logistics.
  • Coordinate and track high-priority action items, deadlines, and follow-ups to ensure timely delivery by attorneys.
  • Handle confidential communication and sensitive communications, including screening and managing emails, calls, and correspondence with clients, partners, and executives with discretion.
  • Draft, format, and revise legal documents (including pleadings); prepare and file court documents in state and federal courts, including electronic filings, and maintain files
  • Prepare correspondence and materials for mailing, faxing, courier, and FedEx shipments, including certificates of mailing; copy, distribute, and file documents per client instructions and firm protocol.
  • Maintain accurate, well-organized physical and electronic files.
  • Support both ongoing and ad hoc administrative needs as they arise.
  • Perform other duties as assigned to meet the needs of the practice and the firm.

 

Qualifications

  • Minimum of 5 years of litigation administrative experience in a mid-size to large size law firm.
  • Advanced proficiency in MS Microsoft Office Suite – (Word, Excel, and PowerPoint).
  • Demonstrated proficiency with legal-specific tools: iManage. (required); familiarity with Intapp, Emburse, (formerly Chrome River), Kiteworks, and Litera strongly preferred.
  • Working knowledge of local court rules and procedures.
  • Exceptional written and verbal communication skills, with the ability to interact confidently, professionally, and discreetly with clients and high-level partners, and executives with exceptional focus.
  • Proven ability to maintain the highest levels of confidentiality, exercise sound judgment, and thrive in a collaborative, deadline-driven environment.
  • Exceptional organization and attention to detail, with the ability to prioritize, work independently, and manage multiple deadlines in a fast-paced, high-volume environment.
  • Demonstrated ability to juggle competing priorities and manage incoming and outgoing requests efficiently.
  • Ability to work effectively both independently and as part of a team.
  • Flexibility to work overtime, as needed.

 

Salary

Pursuant with states' laws, the salary range for this position is $90,000 - $110,000, based on experience and local market.
