POSITION SUMMARY

 

Dentons Ottawa's Corporate Group is seeking an experienced Legal Assistant with 3 to 4 years of relevant experience. This role is ideal for a confident, dependable, and business-minded professional who thrives in a collaborative environment, can effectively manage competing priorities, and adapts seamlessly to changing demands.

The successful candidate will be highly organized, discreet, detail-oriented, and committed to delivering exceptional client service. With a proactive and client-focused mindset, they will take a genuine interest in understanding and anticipating the needs of both clients and legal professionals. In this role, they will contribute to maintaining the high standards of service and support that Dentons is known for, ensuring an outstanding experience for lawyers and clients alike.

 

RESPONSIBILITIES

 

  • Draft, prepare, proofread, and finalize correspondence, accounts, transactional documents, and other legal forms and materials.
  • Enter and maintain lawyer dockets, coordinate with the Finance Department as required, and prepare detailed client billings.
  • Respond promptly and professionally to client inquiries, conduct appropriate follow-up, and keep lawyers informed of client interactions during their absence.
  • Open, organize, maintain, and archive client files, while ensuring compliance with Firm protocols and knowledge management practices, including precedent systems.
  • Manage incoming and outgoing mail and correspondence, maintain email accounts, and oversee bring-forward systems to ensure deadlines and follow-ups are met.
  • Prepare, review, and process cheque requisitions, expense reports, and other financial documentation.
  • Maintain accurate and up-to-date client and matter information, including electronic contact records, in accordance with Dentons' data management requirements.
  • Provide administrative support by scheduling appointments and meetings, coordinating travel arrangements, booking meeting rooms, preparing materials, and liaising with internal departments to ensure timely delivery of client service requirements.
  • Organize and maintain both electronic and physical filing systems, ensuring documents are accurately stored and readily accessible.
  • Foster a collaborative team environment by supporting colleagues, providing coverage during absences, maintaining strict confidentiality, and demonstrating accountability in delivering exceptional service to internal and external clients.
  • Perform additional duties and responsibilities as assigned.

 

QUALIFICATIONS

 

  • Post-secondary education in Business Administration or a related discipline; a Legal Administration or Law Clerk diploma is considered a strong asset.
  • 3 to 4 years of experience in a legal assistant or comparable role, preferably within a corporate practice; infrastructure experience an asset.
  • Proficiency with legal accounting, docketing, and document management systems.
  • Exceptional interpersonal, verbal, and written communication skills, with a demonstrated ability to deliver outstanding client service and interact professionally with a diverse range of stakeholders.
  • Superior organizational skills, strong attention to detail, and a commitment to producing accurate, high-quality work, including excellent proofreading and follow-up capabilities.
  • Proven ability to manage multiple priorities, work effectively under pressure, and meet competing deadlines in a fast-paced environment while maintaining a positive, collaborative approach.
  • Strong critical thinking and problem-solving skills, with the ability to exercise sound judgment and work independently with minimal supervision.
  • Demonstrated discretion, professionalism, and commitment to maintaining confidentiality, privacy, and the highest standards of ethical conduct.

The target salary range for this position is $65,000 – $75,000, commensurate with the successful candidate’s skills, experience, and qualifications. Dentons is committed to equitable and competitive compensation. This target range falls within our internal salary ranges, which are based on comparable roles in the external market.  We strive to hire, promote, and transfer individuals at the entry point of the range, with consideration given to prior experience, relevant skills, and market conditions.
