POSITION SUMMARY

 

 

We are currently seeking a confident and capable Senior Legal Assistant to join our Regulatory Group. This role requires experience supporting partners with large practices including e-billing activities. The ideal candidate will be driven, organized, adaptable and have a strong affinity for process and process improvement.

The successful candidate will be a key team member as a problem solver, a great communicator and coordinator. Standard working hours are 9:00 a.m. to 5:00 p.m., with some flexibility and occasional pre-approved overtime to meet client and team needs.

 

RESPONSIBILITIES

 

  • Manage file openings, including conflict searches, preparation of Engagement Letters.
  • Maintain and communicate to other team members an organized electronic filing system.  Managing legal professional email account is not an expectation.
  • Maintain and update client/matter lists.
  • Respond to legal professional and other firm colleagues’ inquiries promptly and conduct timely and thorough follow up as required.  Ensure timely resolution.
  • Keep legal professional apprised on all billing and client relationship matters.
  • Ensure compliance with client-mandated billing guidelines and e-billing systems.
  • Monitor and troubleshoot billing issues with Billing Coordinator, ensuring timely resolution.
  • Collaborate with team members to ensure consistent support and coverage.
  • Uphold confidentiality and professionalism in all client and internal interactions.
  • Perform other duties as assigned.

 

REQUIREMENTS

 

  • Post-secondary education in business administration or a related field.
  • Minimum 8 years of legal assistant experience, preferably within a large firm.
  • Good critical thinking skills and a process-oriented administrative professional.  Strong oral communication skills.
  • Motivated to be accountable for follow-through on delegated tasks, including reporting and proactive raising of flags for omissions and problems to legal professional without undue prompting.
  • Ability to work under pressure would be an asset, but more important is satisfaction with contributing by moving the yardsticks forward.
  • Honest and open but discreet, with a professional demeanor and experience handling confidential information.
  • Team-oriented with a willingness to share responsibilities and support colleagues to ensure consistent and high-quality support across the group.
  • Diligent with strong attention to detail. Strong grammar, punctuation, and proofreading skills.
  • Knowledge of e-billing platforms and e-billing procedures.
  • Familiarity with legal practice management systems (e.g., 3E).
  • Proficiency in Microsoft Office Suite.  Strong Excel skills.  Proficiency in document management systems (e.g., iManage).
