Legal Administrative Assistant

Dentons US LLP is currently recruiting for a highly organized and experienced Legal Administrative Assistant to provide support to our corporate lawyers in our New York office. This role offers the opportunity to work in a dynamic, collaborative environment supporting sophisticated transactional work for high-profile clients. This position is hybrid and can be located in our NY Midtown or Short Hills, NJ office.
Responsibilities
- Manage core legal administrative tasks, including conflicts checks, new client-matter openings, expense reconciliation, billing, electronic approvals, calendaring, conference room reservations, and travel arrangements.
- Coordinate and track high-priority action items, deadlines, and follow-ups to ensure timely delivery by attorneys.
- Handle confidential and sensitive communications, including screening and managing emails, calls, and correspondence with clients, partners, and executives.
- Utilize the Document Management System (iManage) for secure filing, organization, and efficient retrieval of documents and records.
- Provide high-level administrative and organizational support, such as planning internal/external meetings and conferences, including catering and logistics.
- Anticipate needs, prioritize competing demands, and proactively manage a heavy workload in a fast-paced setting (overtime may be required periodically).
- Other duties may be assigned to support the team’s needs and fully meet the requirements for this position.
Qualifications & Experience
- Minimum of 5+ years of legal administrative experience in a mid- to large-size law firm, with strong preference for prior support in Corporate, Capital Markets or Finance practices.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Demonstrated proficiency with legal-specific tools: iManage (required); familiarity with Intapp, Emburse (formerly Chrome River), Kiteworks, and Litera strongly preferred.
- Exceptional written and verbal communication skills, with the ability to interact confidently, professionally, and discreetly with clients, high-level partners, and executives.
- Proven ability to maintain the highest levels of confidentiality, exercise sound judgment, and thrive in a collaborative, deadline-driven environment.
- Strong organizational skills, attention to detail, and capacity to manage multiple priorities while remaining proactive and solutions oriented.
- Must be able to work overtime as needed and have flexibility in working from both locations.
Salary
Pursuant with states' laws, the salary range for this position is $90,000 - $110,000, based on experience and local market.
