Legal Practice Assistant – Planning, Environment & Government

We are seeking an experienced Legal Practice Assistant to join our Planning, Environment and Government practice group on a full-time, permanent basis. Working across a diverse and complex practice, including development, planning, environmental and Land and Environment Court matters, you will play a key role in delivering exceptional support to both the team and their clients.
The role
This is an opportunity to take a proactive, hands-on role within a busy and dynamic practice. You will be a trusted support partner, anticipating needs and contributing to the smooth running of matters from inception through to completion.
Key responsibilities include:
• Managing diaries and appointments including travel coordination, liaising with Chambers, Clerks and Counsel
• Editing, drafting and preparing correspondence and legal documents
• Printing and collating legal documents
• Preparing and collating Briefs to Counsel
• Arranging court filing and service of court documents
• Proactively managing the team’s finance requirements including trust requirements, accounts payable, audit letters, billing and reporting
• Managing all general administrative requirements including telephones, electronic and hard copy filing, mail etc
• File management including opening, closing and archiving matter files, conflict checking, fee agreements, etc.
About you
You will thrive in this role if you bring:
• Proven experience as a Legal Practice Assistant, ideally within a litigious practice
• Proficiency in Microsoft Word, with demonstrated skills in formatting complex documents, using styles, templates, and reviewing tools
• Experience using Elite or similar finance software for billing, reporting and matter management
• Strong knowledge of Outlook, Excel, and PowerPoint, with the ability to produce polished and professional documentation
• Fast, accurate, and detail-oriented work habits, with the ability to manage multiple tasks in a high-pressure, deadline-driven environment
• Discretion and professionalism in handling confidential information
• A proactive, adaptable and team oriented mindset.
