POSITION SUMMARY

Dentons is seeking to hire a Client Records Specialist reporting to the Client Records Supervisor. This role is a full-time 18-month contract opportunity. It is a hybrid position requiring some in-office presence.

The successful candidate will ensure that all client, matter and timekeeper information is up to date and complete in the 3E Elite accounting system.  The individual will have a complete understanding of the Intapp Open client matter system to validate data and ensure completeness prior to uploading into Elite.  This position also works closely with the billing and eBilling team to ensure that client and matter setups reflect specific client requirements.  Discretion, confidentiality and attention to detail are essential to this role and required at all times.

RESPONSIBILITIES

  • Onboard new clients and matters using Intapp Open and reviewing to ensure Firm standards are met.
  • Manage data records—including client, matter, and timekeeper details—and update billing and collection contact information using 3E Elite accounting software.
  • Record and maintain special rates in 3E Elite for clients and matters.
  • Proactively monitor and respond to a high volume of inquiries directed to the general team mailbox.
  • Administer updates to user access rights in accordance with established protocols.
  • Provide assistance/backup support as required to others in the Finance Department.
  • Other special projects as required.

QUALIFICATIONS

  • Experience with data management and data records.
  • Experience with Intapp and 3E Elite accounting software preferred.
  • Proficiency in MS Office Suite.
  • Superb organizational skills, accuracy and attention to detail.
  • Understands the importance of tact and discretion, sound judgment and diplomacy in dealing with sensitive and confidential matters.
  • Strong communication skills both written and verbal.
  • Commitment to privacy and ethical conduct with a strong ability to ensure all Firm policies and control procedures are met.
  • Self-starter who is able to work independently and effectively with individuals at all levels within a team-oriented environment.
  • Able to meet deadlines, work well under pressure and prioritize work.
  • Proven track record of being adaptable to change in a fast-paced, ever changing environment.

This role is a new position.

The target salary range for this position is $59,000 – $65,000, commensurate with the successful candidate’s skills, experience, and qualifications. Dentons is committed to equitable and competitive compensation.
