POSITION OVERVIEW

Dentons Canada is seeking a highly organized, proactive, and professional who’s looking to be more than an Executive Assistant. While the role itself is grounded in executive support, equally important is the support this role provides to the operations of the Clients & Markets department.  Supporting our Chief Clients and Markets Officer (CCMO), this role will ensure the efficient operation of the executives' office and supporting their strategic initiatives within the Firm. The successful candidate will demonstrate exceptional attention to detail, discretion, extremely savvy with technology, a curious mindset, and the ability to manage multiple priorities in a fast-paced legal environment.

The hours of work are from 9:00 am to 5:00 pm, however, due to the nature of the role some pre-authorized overtime and flexibility in core hours may be required. This role is a hybrid position requiring some in-office presence.

KEY RESPONSIBILITIES

Core Mandate

  • Serve as a trusted advisor to the CCMO, managing complex calendars, schedule meetings, and coordinate appointments, ensuring optimal time management and prioritization of tasks.
  • Prepare, review, and edit correspondence, presentations, reports, and other documents. This requires above average PowerPoint, excel, and word skills. 
  • Organize and coordinate internal and external meetings, including logistics, agendas, materials, and follow-up actions.
  • Serve as a liaison between the CCMO and internal/external stakeholders, always maintaining professionalism and confidentiality.
  • Assist with travel arrangements, expense reports, and other administrative tasks, for the CCMO and the department.

Department Operations

  • Manage the marketing department’s operational processes, including organizing and coordinating department and leadership meetings, preparing agendas, and assembling necessary materials.
  • Support department project management activities, including tracking deliverables, deadlines, and action items for key initiatives led by the CCMO and the Clients & Markets department.
  • Stay informed about emerging technologies, including artificial intelligence, and support the department in leveraging these tools to increase efficiency and streamline job tasks.
  • Maintain and update filing systems, databases, and records in accordance with Firm policies.
  • Handle sensitive information with discretion and maintain the highest level of confidentiality.

Skills and Mindset

  • Demonstrates a strategic mindset by identifying patterns, making connections across different functions, and anticipating potential impacts, even without direct responsibility for developing strategy.
  • Recognizes the importance of proactive follow-up and active engagement to obtain information and responses from cross-functional teams.
  • Possesses strong quantitative skills and is comfortable working with numbers, spreadsheets, and dashboards; able to verify data accuracy, ask insightful questions about metrics, and present data in a clear and accessible manner to non-technical audiences.

QUALIFICATIONS

  • Minimum 5 years of experience as an Executive Assistant, preferably supporting senior leadership in a law firm or professional services environment; equivalent experience in a project management type role considered.
  • Bachelor's degree is preferred or equivalent combination of education and experience. Post-secondary education in business administration or a related field is an asset.
  • Technically savvy and curious about new technologies.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Advanced proficiency with collaboration tools such as Microsoft Teams.
  • Exceptional organizational, communication, and interpersonal skills.
  • Ability to work independently, exercise sound judgment, and manage competing priorities.
  • Strong attention to detail and problem-solving abilities.
  • Demonstrated discretion and professionalism in handling confidential information.
  • Demonstrated commitment to privacy and ethical conduct.

This role is a replacement position.

The target salary range for this position is $79,000 – $89,000, commensurate with the successful candidate’s skills, experience, and qualifications. Dentons is committed to equitable and competitive compensation. This target range falls within our internal salary ranges, which are based on comparable roles in the external market.  We strive to hire, promote, and transfer individuals at the entry point of the range, with consideration given to prior experience, relevant skills, and market conditions.
