The Legal Support Operations Coordinator, under the guidance of the Manager, Legal Support, plays a key role in supporting the effective operation and continuous improvement of the Legal Support Services Team. This role focuses on coordinating administrative processes, supporting team initiatives, enhancing operational efficiencies, and contributing to a positive, collaborative, and forward-thinking work environment.
The Coordinator serves as a key resource for Legal Support team members by assisting with onboarding, training coordination, communications, engagement initiatives, process improvements, and operational reporting. The role also provides occasional Agile Assistant support to help address workload demands, coverage requirements, and business priorities across the Legal Support Services Team.
The successful candidate will demonstrate strong organizational skills, initiative, attention to detail, and the ability to manage competing priorities while building strong relationships with Legal Assistants, lawyers, paraprofessional, and business services teams.
This is a one-year contract position designed to provide operational support and assist with the continued evolution of Legal Support Services initiatives and priorities.
Generally, the hours of work for this role will be Monday to Friday from 9:00 a.m. to 5:00 p.m., however, due to the nature of the role some flexibility may be required. This position is based in the office and requires on-site attendance five days per week.
RESPONSIBILITIES
Legal Support Operations
- Support the Manager, Legal Support with the day-to-day coordination and administration of Legal Support operations.
- Contribute to the development and implementation of best practices that promote operational excellence, consistency, and continuous improvement.
- Maintain operational tracking tools, including attendance records, workshare alignment charts, and related reporting.
- Track and follow up on action items, communications, and deadlines to ensure timely completion.
- Maintain confidentiality regarding personnel, operational, and organizational matters.
- Assist the Manager, Legal Support with onboarding and orientation of new team members, including system guidance, presentations, and transition materials.
- Provide ongoing support to new team members to promote successful integration and identify opportunities for additional training.
- Coordinate training initiatives by organizing materials, tracking participation, and supporting follow-up activities.
- Promote knowledge sharing and the adoption of team procedures, tools, and best practices.
- Support a positive, collaborative, and progressive team environment.
- Assist with engagement initiatives, social events, and team activities, including planning, logistics, and communications.
- Coordinate meetings by managing scheduling, agendas, materials, logistics, and technical requirements.
- Prepare, update, and distribute presentations, memos, instructional materials, meeting agendas, and follow-up communications.
- Organize and maintain electronic files within the firm’s document management system.
- Maintain and update Legal Support content on the firm’s Toronto Portal and provide guidance to employees on available resources and systems.
- Process invoices, expenses, and assist with budget tracking.
- Review third-party vendor reports and escalate discrepancies or concerns to the Manager, Legal Support.
- Perform additional duties and special projects as assigned by the Manager, Legal Support.
Agile Assistant & Legal Administrative Support
- Provide occasional Agile Assistant coverage to support business needs, including vacation coverage, workload demands, and overflow support.
- Assist lawyers, paraprofessionals, and legal assistants with administrative and legal support tasks, including:
- Preparing, revising, formatting, and proofreading legal documents.
- Supporting client intake and conflict check submissions.
- Assisting with time entry and client billing processes.
- Scheduling meetings, appointments, and travel arrangements.
- Maintaining calendars and contact lists.
- Providing overflow administrative support as required
REQUIREMENTS
- Minimum of 1–3 years of administrative or Legal Assistant experience, with the ability to interact confidently with all levels of the organization.
- Experience supporting onboarding, training coordination, recruitment activities, or team operations is strongly preferred.
- HR certification or knowledge of Ontario employment legislation is considered an asset
- Demonstrated ability to manage administrative workflows, support high-volume teams, and contribute to process improvements.
- Strong project management skills with the ability to manage multiple priorities and meet deadlines.
- Exceptional written and verbal communication skills, with strong interpersonal abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and ability to learn and adapt to legal technology applications.
- Strong technology skills with the ability to embrace and support changing systems and processes.
- Excellent organizational and time-management skills with strong attention to detail.
- Demonstrated initiative, professionalism, enthusiasm, and commitment to delivering high-quality service.
- Collaborative team player with the ability to engage, support, and build positive relationships with team members.
- Positive, coachable approach with a willingness to learn and take on new challenges.

The target salary range for this position is $48,000 – $58,000, commensurate with the successful candidate’s skills, experience, and qualifications. Dentons is committed to equitable and competitive compensation. This target range falls within our internal salary ranges, which are based on comparable roles in the external market.
