POSITION SUMMARY

The Premises Operations Coordinator plays a key role in delivering high-level customer service and supporting the effective and secure day-to-day operations of the Toronto office. This role plays a important part in lawyer compliance administration, workplace health and safety, office facilities coordination, and operational support, ensuring compliance with regulatory requirements and the smooth functioning of internal processes.

The ideal candidate is proactive, client-focused, and collaborative, with excellent communication and organizational skills. Flexibility to accommodate business needs and contribute as a strong team player is essential. 

The position reports to the Manager, Premises Operations and is scheduled to work 9:00 am to 5:00 pm, Monday to Friday in the office and subject to flexibility to meet business needs; pre-authorized overtime may be required.

This role is a permanent full-time in-office position.

 

RESPONSIBILITIES

Lawyer Compliance Support

  • Administer Law Society of Ontario (LSO) and LawPRO annual fee and compliance processes for licensees.
  • Coordinate communication and requirements related to onboarding and offboarding of Firm members.
  • Manage quarterly LawPRO civil litigation and real estate levies.
  • Handle LSO annual report filings.

Premises Security and Health & Safety

  • Coordinate health and safety training sessions and familiarity of health and safety protocols.
  • Organize office security training.
  • Maintain and update life safety and security procedures manuals, policies, and operational processes.

Office Operations Support

  • Security and access administration for the Toronto office.
  • Oversee fire system checks and preventative maintenance.
  • Coordinate ergonomic assessments and equipment implementation.
  • Updating office floor plans and workspace allocations.
  • Coordinate and track office-related expenses.
  • Maintain and keep current list of art inventory.
  • Collaborate with internal and building teams to support events and office initiatives.
  • Liaise with building management for internal project needs.
  • Coordinate and support office moves.
  • Deliver ad hoc operational projects as required.

 

SKILLS & COMPETENCIES

  • Self-starter with superior attention to detail and organizational skills.
  • Excellent interpersonal and communication skills, both oral and written.
  • Proficient in Microsoft Outlook, Word, Excel and PDF programs (Adobe)
  • Familiarity with Document Management systems is an asset.
  • Proven ability to manage multiple tasks in a fast-paced, deadline-driven environment.
  • Ability to work independently and function effectively as part of a team.
  • Demonstrated customer service orientation and problem-solving ability.
  • Ability to quickly learn and adapt to new systems and procedures.
  • Ability to handle confidential and sensitive information with discretion.
  • Confident, polished, and professional presentation.
  • Strong work ethic, “can-do” approach, and positive team attitude.

 

EDUCATION, EXPERIENCE & CERTIFICATIONS

  • Post-secondary education in Business Administration, Office Management, Facilities Management, or a related field or equivalent combination of work experience.
  • Two to four (2-4) years of experience in office operations, facilities coordination, or administrative support.
  • Legal office experience would be an asset but is not required.
  • Demonstrated experience managing vendors, building services, and office equipment/systems.
