POSITION SUMMARY

 

We are seeking a dynamic, detail-oriented and professional Legal Assistant to join our real estate team. This role requires a confident, proactive, and business-minded individual who is highly reliable and adaptable to shifting priorities.

RESPONSIBILITIES

 

  • Preparing engagement letters and routine correspondence
  • Performing conflict searches, file opening and file closing related tasks
  • Proactively supporting practice management initiatives which may include entering/reviewing time entries, managing monthly billing cycles in collaboration with billing coordinator and implementing other firm financial best practices related to client management
  • Drafting, preparing and proofreading correspondence, accounts and various transactional documents and forms
  • Dealing with and responding to client inquiries and conducting follow up as required
  • Preparing forms such as cheque requisitions, wire transfers, trust deposits, and expense reports
  • Drafting basic legal documents relating to real estate transactions
  • Managing and scheduling appointments, coordinating meetings and other calendar management related responsibilities
  • Managing and organizing documents in our document management system (iManage)
  • Supporting workflow relating to closing of transactions, including receiving and reviewing documents, ensuring satisfaction of all undertakings, organizing payout funds, ordering payout statements, paying out  mortgages, clearing titles, etc.
  • Supporting workflow relating to filing of electronic documents with the Land Title office
  • Updating and maintaining client/matter lists and current client contact records electronically to meet Dentons’ requirements
  • Maintaining an efficient file management and bring forward system in accordance with the firm’s standards and policy
  • Providing other administrative support to the real estate group, as required

 

REQUIREMENTS

 

  • Minimum 4 years of experience working as a Legal Administrative Assistant in a law firm with experience in residential and/or commercial real estate or corporate transactions
  • Strong document production skills and advanced level of proficiency in MS Office
  • Excellent organizational skills and time management skills
  • Strong grammatical skills, including punctuation and proofreading, attention to detail and accuracy
  • Familiarity with using myLTSA and BC Online/BC Registry and basic understanding of corporate documents
  • Strong written and verbal communication skills
  • Ability to prioritize and multi-task competing priorities, meet deadlines and solve problems in a fast paced environment
  • Ability to work independently and collaboratively in a team environment
  • Ability to exercise sound judgment and discretion and take initiatives when appropriate

The expected salary range for this role is $61,000 - $75,000, commensurate with experience. In the normal course, our practice is to hire, transfer and promote employees within the entry part of our range, adjusting as needed based on the prior experience, skills and competencies required for the role along with any market differentials.
