The Role:
We are looking for an Events and Operations Coordinator to support our team, run a wide variety of events and keep our office and systems humming and enable our team to do their best work.
Reporting to Leonie Vines - Operations Manager for Wellington, this role is responsible for coordinating high-end and well run client and internal events. At times you will also assist in the day-to-day running of the office, including administrative and operational support.
The role is busy, varied and offers lots of opportunities to grow. You’ll get involved right across our business ensuring our events and functions run smoothly and are delivered to high standard.
As this is an events position, there may be a necessity for you to be available outside of normal working hours.
About You:
You are a self-starter who relates well to a wide range of people with your positive, open and warm personality. You are organised yet adaptable, have exceptional attention to detail and, at your core, a customer orientated person.
With your passion for delivering outstanding client service, our ideal candidate is someone who has
- Experience delivering a wide variety of external (online and in person) and internal functions and events
- Excellent verbal and written communication skills and is able to anticipate the needs of stakeholders.
- Intermediate skills in Microsoft 365 office suite (Word, Outlook, Excel, PowerPoint)
- Experience in a corporate environment, ideally a professional services firm.
A typical day would see you:
- Liaising with key stakeholders and sponsors on upcoming events, including scoping the event, catering, room requirements, marketing and IT requirements.
- Working with external suppliers and internal Corporate Service teams to ensure appropriate room set up and catering orders.
- On the day coordination and running of events both online and in person.
- Tracking RSVPs and assisting with wider marketing and BD initiatives for the Firm.
- Assisting with administrative tasks to support the Operations team, and the wider Corporate Services teams.
