The Team
The Innovation & AI team sits within the Solutions function and is responsible for identifying, developing and scaling innovative solutions, including AI and legal technology, to enhance client service delivery and internal efficiency.
The team works closely with IT, Office of the General Counsel (OGC), Procurement, Solutions/Helix and Practice Groups to pilot, implement and embed new tools and ways of working across the firm.
The Role
The Innovation & AI Operations Coordinator supports and helps imrove the effective running of the firm’s Innovation & AI function by providing operational, coordination and process support across initiatives, pilots, products and operational processes.
Acting as a key operational point of contact for incoming requests, the role ensures that activities are captured, prioritised, organised and progressed in a structured and consistent manner. The coordinator plays an important role in enabling collaboration across teams, maintaining operational discipline, and supporting the adoption of AI and legal technology across the firm.
Key Responsibilities
- Manage and help improve the Innovation & AI intake process, ensuring all requests, pilots and initiatives are logged, categorised and tracked accurately.
- Act as a key point of contact for Innovation & AI requests, gathering and clarifying key information to structure and progress requests.
- Capture and quality-check relevant details including use case summaries, stakeholder requirements, timelines and dependencies.
- Maintain and improve operational trackers, dashboards and product inventories across Innovation & AI activities.
- Prepare regular reports, updates and management information.
- Ensure data accuracy, consistency and appropriate use across tracking and reporting tools.
- Coordinate the operational delivery of legal technology pilots, Proofs of Technology and vendor demonstrations, including scheduling, stakeholder communications, feedback collection, issue tracking and follow-up actions.
- Coordinate and support onboarding activities for new tools and solutions.
- Plan and coordinate training sessions, workshops and communications to support adoption of AI and legal technology tools.
- Monitor attendance, engagement and usage metrics to support reporting on adoption.
- Own the day-to-day maintenance and organisation of repositories of use cases, case studies, training materials and documentation, ensuring materials are up to date and accessible.
- Collect, consolidate and identify themes in user feedback, usage data and lessons learned from initiatives and pilots.
- Identify and recommend improvements to processes, tools and ways of working.
- Maintain governance processes by managing documentation, tracking approvals and ensuring required records are complete.
- Prepare and maintain risk and compliance-related documentation where required.
- Facilitate coordination between Innovation, IT, OGC, Procurement, Solutions/Helix and Practice Groups, ensuring clear communication and timely follow-ups.
Key Skills & Experience
- Proven experience in an operations, project coordination, business support or transformation support role within a law firm or legal services environment.
- Strong organisational skills with the ability to manage multiple tasks and priorities.
- High attention to detail and accuracy in tracking, documentation and reporting.
- Strong communication and stakeholder coordination skills.
- Confident working with data, spreadsheets and tracking tools.
- Skilled at taking initiative and adjusting to changing priorities in a demanding workplace.
- Practical interest in, and understanding of, innovation, AI and legal technology.
Preferred:
- Experience working within a professional service, legal or corporate environment.
- Experience of, or demonstrable exposure to, innovation, legal technology, AI or digital transformation initiatives.
- Experience coordinating projects, pilots or operational processes.
- Experience using collaboration and tracking tools (e.g. Microsoft 365, Excel, PowerPoint, SharePoint, Teams, Jira or similar).
- Ability to maintain, interpret or improve structured data, dashboards or reporting tools.
- Experience supporting and managing stakeholder engagement across multiple teams.
- Relevant degree or equivalent experience in business, law, technology or a related field.
